A failed multifunction printer can be a minor nuisance until it is the device producing dispatch notes, patient records, construction drawings, signed contracts or finance packs. At that point, printing is not an isolated office task: it is part of business continuity. Why print belongs in continuity planning
Many continuity plans cover servers, telephony, premises access and cyber incidents, but overlook the print environment. That leaves a gap between digital systems and physical work. Staff may be able to retrieve an order in an ERP system, for example, but still be unable to create the paperwork needed for picking, delivery or sign-off.
This risk is greater where a single device has become the default point for scanning, copying and printing. It can also arise when devices depend on local print servers, unmanaged drivers, one specialist paper stock, or a member of staff who knows how to resolve every printing issue.
A useful plan considers the whole document path: where a file is created, how it reaches a device, who can release it, where it is scanned back into a system, and what happens if any stage fails. That approach reveals dependencies that a simple list of printers will miss.
Start with critical document workflows
Do not begin by counting devices. Begin with the work that must continue during disruption. Speak to operations, finance, reception, HR, customer service and any teams working from sites or warehouses. Ask which documents must be available within an hour, within a day, or only after normal service is restored.
For some organisations, the priority is high-volume output such as labels, invoices and despatch paperwork. For others, it is secure scanning of signed forms, confidential printing for HR, or the ability to copy identity documents at reception. A school, legal practice and engineering firm can all rely heavily on print, but their recovery needs will be different.
For each critical workflow, record the following in plain operational terms: the document type, its owner, the normal device or location, the required paper or finishing, the source system, and the acceptable fallback. This turns an abstract continuity exercise into instructions people can use under pressure.
Separate essential output from convenient output
Not every print request deserves equal protection. Marketing handouts and internal meeting packs can usually wait. Time-sensitive delivery documents, compliance records and payroll material may not be able to.
This distinction keeps the plan proportionate. It prevents a costly attempt to duplicate the entire print estate while ensuring the functions that affect service, cash flow, safety or compliance have an agreed route forward.
Build practical fallback capacity
Fallback capacity can take several forms, and the right mix depends on volumes, locations and document sensitivity. A nearby multifunction device may absorb low to moderate demand when one device fails. A secondary production device may be necessary where large batches or specialist finishing cannot stop. A small office printer may keep basic correspondence moving, but it is unlikely to replace a high-capacity device producing booklets, labels or A3 technical drawings. Similarly, a device in another department may be physically available but unsuitable for confidential documents.
Where a second site is part of the plan, account for transport, user access and document security. A backup location 30 miles away may be acceptable for overnight reports but not for paperwork needed at a customer counter.
Reduce single points of failure in print infrastructure
A continuity plan should cover more than hardware faults. Network changes, failed print servers, expired certificates, unavailable identity services and interrupted internet connections can all stop users from printing even when the device itself is working.
Cloud-based print management can reduce reliance on a single on-premises server and make queues easier to manage across locations. It is not a cure for every scenario: local connectivity, authentication and device configuration still matter. However, it can give IT teams clearer control over queues, drivers and user access, particularly where hybrid working or multiple sites are involved.
Standardising devices and drivers also helps. A fleet built from unrelated models may appear flexible, yet it creates more support complexity, different consumables and inconsistent user experiences. A more standardised estate is easier to monitor, support and recover. That does not mean every device must be identical. Specialist departments may need different capability, but those exceptions should be intentional and documented.
Protect documents as carefully as devices
Continuity and security must work together. During disruption, teams are more likely to use workarounds: emailing sensitive files, leaving documents in output trays, or printing to a device in an unsecured area. Those actions may restore speed while creating a data protection incident.
Use authenticated print release for confidential or regulated material so documents are released only when the user is present. Apply role-based access to scanning destinations, and make sure scanned files are routed to approved shared locations or document systems rather than unmanaged inboxes.
Your incident procedure should also state who can approve temporary changes. If users need access to an alternative device or scan destination, IT and operational leads should be able to make the change quickly without bypassing essential controls. Logging these temporary permissions makes it easier to remove them after recovery.
Keep supplies and service arrangements realistic
A well-designed fleet still needs toner, paper, spare parts and engineering support. Monitor consumable levels rather than relying on a cupboard check when supplies are already low. Critical locations may need a defined buffer of the paper types and consumables their priority workflows require.
Avoid overstocking simply because disruption is possible. Consumables have storage requirements and device compatibility matters. The sensible level depends on normal usage, lead times, device criticality and whether compatible devices can share stock.
Service arrangements should be equally clear. Keep an up-to-date record of device serial numbers, locations, key contacts and fault-reporting procedures. If a device is business-critical, establish what information users should provide when logging a fault and who can authorise a replacement or temporary device. Local service coverage is particularly valuable when an issue cannot be resolved remotely.
Test the plan with real users
The strongest indicator of continuity readiness is whether a department can work through a controlled test. Choose a realistic scenario: the main multifunction device is unavailable for a day, the print server is down, or a site loses connectivity. Then ask users to complete a few priority tasks using the documented fallback.
Tests often uncover straightforward issues: an alternative device lacks a driver, secure release is not enabled for a team, staff do not know where to find the correct paper, or scanned documents reach the wrong folder. These are useful findings, not failures. They give the organisation a chance to make improvements before an actual incident.
Review the plan after major changes, such as an office move, device refresh, cloud migration or a new document workflow. It should also be reviewed when departments change their processes. A continuity document that describes a former print estate is less useful than no plan at all because it encourages false confidence.
Make ownership clear
Business continuity is shared work. IT may manage networks, access and print platforms; facilities may manage locations and supplies; operational teams understand the impact of delayed documents; and finance or procurement may oversee supplier arrangements.
